About this Privacy Policy
This Privacy Policy outlines how we collect, use, keep secure and disclose personal and company information.
It also describes generally the sorts of personal and company information held and for what purposes and how consumers now have a right to no why a private sector organisation is collecting their personal and company information.
Our Privacy Policy applies to all your dealings with us whether through one of our Franchisees, Head Office, Manufacturing Centre, or via our website. However, depending on the organisation with which you deal, further privacy information may apply in addition to the matters discussed in this Privacy Policy.
Collecting your personal information
If you are acquiring or have acquired a product or service from one of our Franchisees or Head Office, it will collect and hold your personal and company information for the purposes of:
- Providing you with the relevant product or service.
- Managing and administering the product or service
- Completing the financial transaction associated with the supply of services or product.
Our organisations may also collect your personal or company information for the purpose of letting you know about products or services from the Trimlite product set that might better serve you or your company needs or promote other opportunities in which you may be interested.
The information collected may include your name, postal or email address, company financial details, banking details, product or services purchasing information or other information the organisation considers necessary to complete commercial transaction efficiently and affectivity.
We will, if it is reasonable or practicable to do so, collect your company or personal information from you under the guidelines set out within the National Privacy Principals 1 to 10, which set the base line standards for privacy protection.
This may happen when you fill out a product or service purchase Order/Request Form or an administrative form (e.g. a company change of address form or Credit Check Release form). Or when you give personal or company information to us over the telephone or Fax, or through our website.
In certain cases we may collect company information from third parties. For example, we may need to collect company information from a credit reporting agency, your representative (such as a legal adviser), your financial adviser, and your employees or from publicly available sources of information. Or any of the other organisations identified below under "Using and Disclosing Your Personal and Company Information".
Using and disclosing your personal information.
In line with modern business practices common to many organisations and to meet your specific needs we may disclose your personal or corporate information to the organisations described below. Where your personal or company information is disclosed we will seek to ensure that the information is held, used or disclosed consistently with N.P.P guidelines together with the Trimlite Privacy Principles, or any relevant Privacy Principles under state legislation and other applicable privacy laws and codes.
The relevant organisations are those
- Involved in providing, managing or administering your product or service such as third party suppliers, other Franchised organisations, Teaming program partners, Printers, Posting services, Call centres, Telemarketing organisations, Marketing canvassers, and our Advisers
- Agent or Teaming Partner organisations who wish to advise you of their products or services that might better serve your commercial, and work-place needs or promote other opportunities, and their related service providers, except where you tell us not to
- Involved in with your financial or legal advisers and their providers
- Involved in maintaining, reviewing and developing our business systems, procedures and infrastructure including testing or upgrading of computer systems
- Involved in a corporate re-organisation
- Involved in a transfer of all or part of your assets or business.
- Involved in the payments system including, merchants and payment organisations
- Involved in product planning and development
- As required or authorised by law, for example, to government or regulatory bodies for purposes related to public safety, the prevention or detection of unlawful activities or to protect public revenue
- Where you have given your consent.
As we operate throughout Australia, some information use or disclosures may occur Interstate or outside Australia. In relation to personal or company information that is held by us Interstate and within Australia, we will apply the guidelines set out in N.P.P. 4 together with always seeking your approval before any information is provided to third parties. The only exception of course where directed to do so, by the Law or enforcers of Law.
Marketing our products and services
It is our practice to seek your consent to use or disclose your company or personal information to let you know about, and develop, products and services from across the Trimlite network, that might better serve your commercial and competitive needs. Or where there are other economic opportunities in which you may be interested. This may be done after an initial marketing contact. We assume we have your consent to use service providers to assist us with this (such as a posting service or advertising, and telemarketing agency), unless you tell us otherwise (see 'Contacting Us' below).
Keeping your personal information accurate and up-to-date
We aim to make sure that the personal and company information we collect, use or disclose is accurate, complete and up-to-date. We will take reasonable steps to make sure this is the case. This way we can provide you with better service.

Gaining access to your company or personal information
You can gain access to your company or personal information. This is subject to some exceptions allowed by law. Factors affecting a right to access include:
- Access would pose a serious threat to the life or health of any individual
- Access would have an unreasonable impact on the privacy of others
- A frivolous or vexatious request
- The information relates to a commercially sensitive decision making process
- Access would be unlawful
- Access would prejudice enforcement activities relating to criminal activities and other breaches of law, public revenue, a security function or negotiations with your legal dispute resolution proceedings
- Where a third party has given us financial information about your organisation in confidence
- Denying access is required or authorised by or under law.
- We will give you reasons if we deny access. Contact us directly and we may be able to deal with your request over the telephone or “face to face”.
Using government identifiers
Although in certain circumstances we are required to collect government information, such as your GST details, we do not use or disclose this information other than when required or authorised by law or unless you have voluntarily consented to disclose this information to any third party.
Dealing with us anonymously
You can deal with us anonymously where it is lawful and practicable to do so. For example, if you are a government or security organisation that by its existence requires secrecy. Your organisation's sensitivity is well understood by us and your requirements will be implemented.
We will not collect information about your company, organisation or employees that reveals racial or ethnic origin, political opinions, political support religious or philosophical support or affiliations, membership of a professional or trade association, support of a trade union, details of employees health, disability, sexual orientation, or criminal record.

Having effective complaints handling process is an important part of managing our privacy risk within Trimlite. An effective complaints handling process enables us and you to:
- Identify (and address) any systemic/ongoing compliance problems
- Increases consumer confidence in Trimlite’s privacy procedures;

If you have any issues you wish to raise with the Trimlite, or would like to discuss any issues about our Privacy Policy, then you are able to do so a number of ways:
You are always welcome to speak directly to our staff or Agency’s and they will do their best to resolve your issue. If investigation is required we will keep you advised of progress. If staff is unable to resolve the matter, it will be escalated as appropriate to facilitate resolution.
